Beach Cities Learning is looking for a full-time office assistant for our location in San Gabriel, CA. Up to 35 hrs per week, M-F 8:00am- 3:30pm (7 hour work day). Hourly rate of $18.00.


Beach Cities Learning is an innovative non-public school program, which serves the educational needs of special education students between the ages of 6 to 22. Designed to provide a stimulating, supportive, academically challenging and therapeutic program for students struggling in the public school arena. We provide students with the tools needed to be successful in school and life.


The Part Time Office Assistant position is a direct report to the Site Administrator and is responsible for managing multiple tasks in a busy, high-volume office.


  • General office duties including maintaining supply inventories,  mail and fax distribution, and photocopying
  • Create, organize and maintain office filing systems, send files to necessary recipients.  
  • Assist in preparation for monthly training; create new hire training binders, bags and badges
  • Process I-9 Form to verify the identity and work eligibility of new employees hired
  • Responsible for keeping the office tidy and organized, including maintaining office equipment and decorating the area when appropriate
  • Additional responsibilities as requested by Site Administrator , or other staff
  • Will assist Office Administrative Team with any billing or office needs
  • Work with LEA Schools
  • Assist by scheduling meetings, appointments, walkthroughs, etc.
  • Order meals for students
  • Assist School Coordinator with school activities


  • A minimum of 2 years prior administrative experience in an office setting is preferred
  • Excellent upbeat telephone skills handling multiple incoming phone lines
  • Excellent customer service skills
  • Exceptional communication skills
  • Strong software proficiency with Microsoft Office Suite (Word, Excel, and Outlook)
  • Proven ability to multi-task, prioritize and organize effectively
  • Strong attention to detail, accuracy, and follow-through 
  • Bilingual, Spanish highly required
  • Education, Experience and Licensure
  • High School Diploma, required
  • Technical Skills
  • Proficient use of Microsoft Office products including Word, Excel, and Outlook
  • Ability to quickly learn new software programs as needed.
